Credentialing for allied health clinics in Canada

Every registration, every renewal, before it lapses.

College registrations, liability insurance, CPR, vulnerable sector checks, CPD credits and insurer registrations — TELUS eClaims, Sun Life, GreenShield, Blue Cross, WSIB — for every practitioner, tracked in one place, with renewals handled before they become a problem.

The problem

What a manual credentialing process won't forgive.

An allied health clinic tracks a registration, a policy, a CPR card, a police check, CPD credits and a handful of insurer registrations for every practitioner — each on its own calendar.

  • Every college renews on a different day

In Ontario alone, massage therapists renew by November 1, chiropractors in early January and physiotherapists by March 31. Miss one and a practitioner is treating while their registration lapses.

  • Delisting is expensive

Insurers delist clinics and practitioners over missing documents and audit gaps — Sun Life has reported delisting around 1,500 providers in a single year. A delisted provider can't bill that insurer at all.

  • Claims bounce on a mismatch

If the licence number on a TELUS eClaims registration doesn't match the college record, claims get rejected. Patients who can't direct-bill walk to the clinic down the street.

  • It all lives in one manager's spreadsheet

Part-time contractors come and go, each with their own policy, CPR card and police check. When the person who kept the spreadsheet is away, nobody knows what's due.

What Healti does

Everything a practitioner needs to bill insurers, in one place.

Built for Canadian allied health: colleges, not state boards; insurer registrations, not payer enrolment. Only what the product does today.

Credentials

Per practitioner
  • College registration

Pick the college from a built-in catalogue; its fixed renewal date comes with it.

  • Verify on the public register

Open the right register in one click and record who confirmed it, and when.

  • Insurance, CPR and checks

Liability policy, CPR and first aid, vulnerable sector check — each with its expiry.

  • CPD cycles

Credits against the cycle's requirement, flagged when a practitioner falls short.

Insurer registrations

Direct billing
  • A Canadian insurer library

TELUS eClaims, Sun Life, GreenShield, the Blue Crosses, WSIB/WCB, FSRA/HCAI and ICBC.

  • Status you can trust

Draft, submitted, in review, approved — with dates, provider IDs and follow-ups.

  • TELUS eClaims coverage

See which insurers a practitioner already reaches through one TELUS registration.

  • Ready to bill

A per-practitioner checklist of everything insurers ask for before you apply.

Monitoring

Checked nightly
  • Nightly checks

Every date re-checked overnight; what changed shows up as a task in the morning.

  • Renewal tasks, early

A task 60 days before each college's fixed renewal date, not the week it's due.

  • Email reminders

Alerts at 90, 60, 30 and 7 days by default, plus a daily digest. You set the windows.

  • Delisting-list checks

Record each check against published insurer delisting lists, with the result.

Your clinic

Team and locations
  • Clinic-level credentials

FSRA licence and HCAI, WSIB and WCB numbers, tracked per location.

  • Roster import

Bring your practitioners in from a spreadsheet: profession, college, registration number.

  • Roles and tasks

Admins, coordinators and view-only users, with tasks and a full activity log.

  • Documents and exports

Certificates stored privately; export the roster, documents and workspace any time.

Credentials

One page per practitioner, everything on it.

College registration, liability insurance, CPR and first aid and vulnerable sector check, each with its number, expiry and how it was verified. Healti opens the college's public register for you and keeps a record of who confirmed it.

  • Renewal dates follow each college's calendar
  • What's due soon sits at the top
  • Certificates attached to the credential they prove
A practitioner's credentials in Healti: college registration with the College of Massage Therapists of Ontario, liability insurance, CPR and first aid, and a vulnerable sector check, each with expiry and verification.

Insurer registrations

Know where every direct-billing registration stands.

Track each practitioner's registration with TELUS eClaims, Sun Life, GreenShield, the provincial Blue Crosses and WSIB — submitted when, waiting on what, approved under which provider ID. You submit on the insurer's portal; Healti keeps the thread and reminds you to follow up.

  • Insurers covered through TELUS eClaims marked as such
  • Follow-up dates so nothing sits in review for months
  • Filter by province and insurer type
Healti's insurer library for an Ontario clinic: TELUS eClaims and the insurers it covers, GreenShield, FSRA and HCAI auto insurance, with how many practitioners are registered with each.

Monitoring

The morning list of what needs you.

Every night Healti re-checks every date: college renewals, expiring policies and CPR cards, lapsed checks, CPD shortfalls and insurer requests waiting on an answer. In the morning it's a short list, sorted by what's most urgent.

  • Critical and warning, never a wall of red
  • Each alert opens the record it's about
  • Tasks and reminders created for you
Healti monitoring: critical alerts for an expired vulnerable sector check and CPR expiring in 12 days, and warnings for college renewals due November 1.

FAQ

Straight answers.

Does Healti submit registrations to insurers for us?

No. Healti tracks, organizes and reminds; your team submits on each insurer's portal — TELUS eClaims, Sun Life Connect, GreenShield's providerConnect and so on. Healti keeps the status, submission date, provider ID and follow-ups, and tells you when something is waiting on you.

Does Healti check college registers automatically?

Not today. Colleges don't offer an API and several block automated access, so Healti opens the right public register in one click and records who verified the registration and when. It schedules the next check around the college's renewal date. An automatic registry monitor is on the way (see Healti AI).

Does Healti hold patient information?

No. Healti is about your practitioners — their registrations, policies, checks and insurer registrations — not about anyone they treat. There is no field for patient information, and we ask you not to upload any.

How do you handle privacy?

Practitioner information is personal information, and we treat it that way: it is used only to run your credentialing, never sold, never shared with advertisers and never used to train models. Uploaded documents are private — no public links, and every download requires a signed-in request. You can export everything, and after you cancel we delete your data within 30 days.

Where does our data live?

With our cloud hosting provider, scoped to your clinic so no other clinic can read it. If your organization requires its data to stay in Canada, talk to us before you sign up.

What happens to our data when we use Healti AI?

Only what you choose to send — a document you drop in or a question you ask — goes to our AI provider (OpenAI, in the United States), and it is not used to train models. SINs and dates of birth are never sent. AI results are drafts; nothing is saved until you confirm it.

How does billing work?

One monthly price per clinic, by the number of active practitioners and locations. You can start without a card and choose a plan from Settings → Plan when you're ready. Change or cancel any time. More than 50 practitioners? Talk to us.

Which provinces and professions do you support?

Ontario, British Columbia and Alberta, in English, with the colleges for physiotherapy, massage therapy, chiropractic, kinesiology, psychology, occupational therapy, dietetics, nursing and medicine. Quebec, in French, comes later.

Does it replace Jane or our practice-management software?

No — it sits next to it. Your practice-management software books patients and sends claims; Healti keeps the credentials and insurer registrations behind those claims current.
